Santal Consultancy ("Santal," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect through santalconsultancy.com (the "Site"), why we collect it, how we use and protect it, and what choices you have. It should be read together with our Terms of Use.

This Policy is designed to comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

1. What Information We Collect

We collect personal information when you voluntarily provide it to us, including through:

  • The Strategic Growth Assessment — your responses about your business or product, and contact details such as your name and email address.
  • Blog subscription / newsletter sign-up forms — your name and email address.
  • Contact forms or direct email — any information you choose to share with us (e.g., name, email, company, message content).
  • Call bookings — information you provide through our scheduling tool (e.g., name, email, meeting details), which is subject to that third-party provider's own privacy policy.

We also automatically collect certain technical information when you browse the Site, including:

  • Usage and analytics data — such as pages visited, time on site, referral source, and general location/device information, collected through website analytics tools and tracking pixels.
  • Cookies — small files stored on your device to help the Site function and to support analytics. See Section 6 below.

We do not knowingly collect financial account numbers, government ID numbers, or other highly sensitive information through the Site, and we ask that you not submit such information to us through any Site form.

2. Why We Collect It

We use your personal information to:

  • Provide you with your Strategic Growth Assessment results and related follow-up;
  • Respond to inquiries and communicate with you about our services;
  • Send you marketing or informational emails (e.g., newsletters, updates) where you have provided consent, in accordance with CASL;
  • Understand and improve how visitors use the Site, through aggregated analytics;
  • Maintain internal business records of prospective and current clients.

We do not use your information to make any automated decision that produces legal or similarly significant effects concerning you.

3. Where Your Information Is Stored

We currently use a combination of business tools to store and manage lead and client information — which may include, at various times, spreadsheet and design tools, CRM software, and similar platforms. We are consolidating these into a smaller number of dedicated business systems over time. Regardless of which specific tool is in use, we take reasonable steps to ensure your information is stored securely and accessed only by our team for the purposes described in this Policy.

Some of the tools we use may store or process data on servers located outside of Canada (including in the United States), depending on the provider. By submitting your information, you acknowledge that it may be transferred to, and processed in, a jurisdiction with different privacy laws than Canada. Where required, we take reasonable steps to protect your information consistent with this Policy regardless of where it is processed.

4. Sharing Your Information

We do not sell your personal information.

We do not currently share your personal information with third parties outside of Santal, other than the service providers described in this Policy who help us operate the Site and manage our business (e.g., hosting, analytics, scheduling, and CRM providers), who are only permitted to use your information to provide those services to us.

We may, in the future, use additional third-party service providers — for example, to send marketing emails on our behalf. If we do, those providers will be bound by confidentiality and data protection obligations, and any marketing communications will comply with CASL consent and unsubscribe requirements. We will update this Policy if our practices change materially.

We may also disclose your information if required by law, to protect our legal rights, or in connection with a business transaction such as a merger, acquisition, or sale of assets.

5. Email Communications & Consent (CASL)

If you provide your email address (e.g., through the Assessment or a subscription form), we may send you commercial electronic messages such as newsletters, updates, or follow-up related to your inquiry, based on your express or implied consent as permitted under CASL.

Every marketing email we send will include a way to unsubscribe. You may withdraw your consent at any time by using the unsubscribe link or by contacting us directly (see Section 9). We will process withdrawal requests promptly.

6. Cookies & Tracking

The Site uses cookies and similar tracking technologies (including website analytics tools and tracking pixels) to:

  • Understand how visitors use the Site;
  • Improve Site performance and content;
  • Support internal analytics on marketing and engagement.

These tools may collect information such as your IP address, browser type, device type, and browsing behaviour on the Site. You can control or disable cookies through your browser settings; doing so may affect how some parts of the Site function.

7. Data Retention

We retain your personal information for as long as reasonably necessary to fulfill the purposes described in this Policy, including to maintain business records, respond to your inquiries, and comply with legal obligations. If you ask us to delete your information (see Section 8), we will do so unless we are required or permitted by law to retain it.

  • Request deletion of your information, subject to legal or legitimate business record-keeping requirements;
  • Withdraw consent to our collection, use, or disclosure of your information (including unsubscribing from marketing emails) at any time, subject to legal or contractual restrictions and reasonable notice.
